1) Log in as an administrator
Sign into Dialpad with an account that has Company Admin or Office Admin privileges.
In the sidebar or top navigation, go to Office → Users (or “My Company” → Users), depending on your version.
2) Add a new user
Navigate to Office → Users.
Click the Add User (or “+ Add User / + New User”) button.
You’ll be prompted to enter the new user’s details:
Email address (must belong to your domain, if you use a linked domain)
Choose a phone number/extension for them: you can pick from unassigned numbers in your pool.
After entering, confirm any billing/licensing changes if required.
An invitation email will be sent to the user. They need to accept it to activate their login.
3) Assign user roles & permissions (optional but recommended)
Once the user is added, you may want to give them specific permissions or admin privileges.
Go to Office → Users → find the user → click Options → Admin (or similar) to assign roles (Office Admin, Company Admin) or special permissions.
Ensure you assign the correct license type for their role (Standard, Pro, etc.).
4) Confirm the new user can log in
After the invitation is accepted, verify the new user appears under Active Users (not “Pending”).
Have the user log into Dialpad (via web/app) using the email you invited. They should have their own login and be tied to their assigned number.
If using Single Sign-On (SSO, e.g., Microsoft / Google), make sure any directory integration is configured properly.
✅ Small tips
Make sure you have enough user licenses in Dialpad before adding a new user; each user consumes a license.
Invite the user quickly after adding so their enrollment email doesn’t expire.
Keep track of assigned numbers if your plan uses dedicated DID/extension numbers.
If a user doesn’t accept the invite, you may see them in “Pending” state; you can resend the invite.
